Introduction
This is the Lion version of the QuickWork application enabling managers to track the cost of their projects. Based on a hierarchical model starting with a project, QW allows the user to set up projects, jobs, dates, tasks and people. It reports the person’s cost on both a task report and a job report. Each level can contain as many entities as needed. The task report displays the people assigned to each task and based on the hours and rate, calculates the cost. The job report displays the total cost, expenses and notes for each person for the month. QuickWork keeps a record of all project costs and expenses making accessing historical data simple.
The Hierarchy
The Screens
a. Project
The project screen shows information on project name, project number, project estimate, project cost, project expenses and any notes associated with the project. The Cost and Expenses are calculated values based upon information to the right in the task bar. The Add button is pressed to add a project and the Remove button deletes the selected project. The task bar at the top allows the user to easily skip from one screen to another. The information represented by an icon belongs to the icon to its left so a particular project has certain jobs performed on certain dates down to the person. Extreme caution must be exercised when using the Remove button because all information at that level and below, i.e., that level and all to the right is also deleted. As usual, a database copy is vital in case information is accidentally deleted or the data becomes corrupted. So, use SAVE AS under the FILE menu and create a copy with a unique name that can be easily remembered then back up on a CD similar to:
b. Job
The job screen contains information on the job name, job number and job estimate and any notes or comments. The Job Cost and Job Expenses are calculated from the data. The project name is selected in the upper left. A search field is available on the lower right. The Omit field is descriptive only and has no functionality at this level.
Data is entered using the appropriate box at the bottom of the screen.
c. Year
The year screen has information fields: Year, Year Estimate and Year Notes. Year Cost and Year Expenses are calculated. The name of the project and job are selected in the upper left. Clicking the “copy to” button copies all information on the Year screen for Job 1 to Job 2. This feature continues in subsequent screens. Information can be copied between selections on the same level thus avoiding entering the same data twice. Data lower in the hierarchy is not copied.
d. Month
The Month input data includes month name and month notes. Copying month information from one job and year to another is available. For each month, the estimate, cost and expenses are displayed. The Omit column can be checked to indicate the month’s data will not be used. In order to view all months on the job report, add the month name “All” so it will be one of the selections.
e. Day
This screen displays the day estimate, day cost, day expenses and day notes. If the Day Exclude box is checked then that day will be removed from all calculations. To exclude month, day or task costs for a particular person, use the person screen Omit column.
f. Task
Each task has a name, a task number and a task rate (per hour). The “Task seq” indicates the order in which the task columns will be displayed on the Task report. Task notes can be added. If the Omit box is checked then that task will be removed from all calculations. On setup, the default task rate is 1.0.
g. Person
The person screen records the person number, hourly rate, number of hours and notes. The cost of a person and the expenses are calculated. Omit selections allow a month, day or task for that person to be excluded from calculations. Since reporting and totals are based on person name, each person must have a unique name. The person number is descriptive only and is optional. Names may be first name/last name or last name/first name as long as they are the same for a particular person. The person rate, if not zero, will override the task rate. Costs for a particular person can be excluded from calculations by using the Omit column. The month, day or task can be selected. To clear the exclude selection, select the blank field following the month name. The tasks excluded will be reported on the Task Report as “omit” followed by the total excluded. A person excluded from a month will not appear on that job report.
h. Expense
The expense screen displays the merchant where the purchase was made, the type of purchase, a trace number, amount and notes on the purchase. The expense item can be omitted from the report totals.
i. Task Report
The Task Report displays data but does not update it; updates are done using the appropriate screen. It is selectable by month within the higher level parameters. This report displays by person name, the cost for each task plus the total and expenses. The order of the columns can be selected on the top left. The date and time that the report was created is shown at the top right. Omit indicates those tasks have been excluded using the person update screen and will not be part of any calculations. j. Job Report
The job report is selectable by project, job, year and month. This report lists the total cost and expenses for each person for the month. The user can add any comments to be saved in the database. The date and time that the report was created is shown at the top right.
k. Print
Prints the screen currently selected.
Be Aware
QuickWork has no built in password protection nor encryption routine so it is the responsibility of the user to provide whatever level of data security that is needed.
